Summary: The Clinic Administrative Assistant will provide support for the daily operations of Clinic Administration as well as spearheading the organization of the quality incentives programs. Assists Clinic Managers/Directors and VP of Clinics with staff scheduling, staff onboarding and training to ensure the smooth operation of the clinics. The role requires a professional appearance and the ability to maintain a level of high confidentiality.
Duties/Responsibilities:
- Front office quarterly bonus audits (10 charts audited per front office staff, per quarter)
- Handles patient complaint and grievance process for all clinics
- Assists in the hiring process – assists in interviews, tracking candidates through the hiring process
- Maintains employee files – Absenteeism, tardiness, BLS, Licensure, Certification, etc.
- Tracking new employee training – Clinic specific orientation, MA Training Checklist, Front Office Checklist
- Assists in the development and implementation of new employee training (i.e. lab procedures, CLIA Training, new processes, front office training to prevent claim denials)
- Tracks hazardous chemicals used in clinics and reports this back to Safety Committee, ensures safeguards are in place
- Renews CLIA Certification for all clinics
- CCD uploads in Greenway
- RHC – Provider RHC Hours – coordinating with provider payroll, Chart Audits (10 per clinic per quarter), updates RHC Manuals and Emergency Preparedness Manuals for all clinics and ensures compliance with RHC standards
- Assists in getting provider signatures on annual protocol agreements and files
- When necessary, fills in at committee meetings and relays information back to Clinic Managers and VP
- Continues to look for ways to improve the function of Clinic Administration
Education requirements: Customer service experience required. Associate’s degree preferred in related field.
